Collection notice

This privacy collection notice applies to anyone who registers expression of interest, enrols or participates in short course study programs run by Sydney Executive Plus at the University of Sydney.

The privacy notice describes the types of information we collect from you when you are applying for, registering interest, or enrolling in a range of our educational learning programs. It sets out how we use and share your information for the purposes of administering your learning, how to access or amend your information, and how to enquire or make a complaint about our handling of your information.

The University’s primary privacy obligations are set out in the Privacy and Personal Information Protection Act 1998 (NSW), Health Records and Information Privacy Act 2002 (NSW) as well Privacy Act 1998 (Cth) and international privacy laws where applicable. Please read this notice in conjunction with our marketing and website privacy notices.

Personal information we collect directly from you

We will collect personal information including your name, email address, study intentions or current enrolment, interests, geographic location and demographic information when you apply and or register your interest range of Business School courses.

When registering or expressing interest in our courses, you may be required to provide details including, but not limited to, the following:

  • Contact details including name, phone and email address
  • SID and alumni information will also be collected if you register for discounts
  • Employment details including your organisation and job title (optional)
  • LinkedIn profiles (optional)
  • Payment information will also be collected at the point of registration

When you use our websites, we will collect information using cookies or automated means, including IP address, browser and device details, consent preferences, and inferred location. For further information, please refer to our website privacy statement.

Personal information we collect from third parties

We may receive personal information about you from third parties including our authorised partners if you nominate your interest in the University of Sydney with them. We will receive a range of personal information about you, including your name, email address, study intentions and interests, geographic location and demographic information.

Your personal information is passed to the University of Sydney from organisations not limited to, our authorised educational partners. The personal information shared with these providers is shared securely with the University of Sydney to support your learning area of interest. The personal information we collect will reflect what you have provided to the third party and the information agreed to share as part of your agreement with that third party or agent.

How we use your personal information

We will use your personal information to support your registration and participation in our educational programs and learning opportunities, in line with our object and functions under the University of Sydney Act 1989 (NSW).

Your personal information will be used to enrol you as a non-award course participant at the University of Sydney including the provision of services to support your studies.

We will also use your information to:

  • contact you to confirm that your contact details and associated information are correct
  • inform you about study opportunities at the University of Sydney
  • send you surveys from the University or our partners, to help us understand the needs and preferences of our prospective students
  • invite you to participate in anonymised surveys to obtain information regarding preferences and programs the University should offer to best support its students. 
  • Confirm that you are alumni of the University of Sydney

When you lodge questions via our website, we will use your personal information to send you personalised communications unless you advise otherwise. Unless you have requested otherwise, the information that you provide is used by the University to communicate with you for its educational and learning purposes. These may include, but are not limited to the following:

  • Providing you with information and services you asked for, including promotion of educational programs, study and course options.
  • Promotion of the University’s events and courses.
  • Distribution of University online mailings (e.g. subscriptions).
  • Inviting you to give feedback on events and other services to help us improve what we offer.
  • Contacting you to participate in surveys and provide feedback to enhance our programs and services to better understand the needs. 
  • To support analytical, benchmarking and reporting your data will be used to assist evaluate admissions and improve our service delivery.
  • We will also use your data for personalisation purposes to enhance your experience, understand user interests and tailor content and services to your preferences.

We will use the information we collect from you for analytical reporting, and market research and customer insights purposes. The information will be used in various secure technologies and platforms for the purposes of providing you with relevant information about the University of Sydney educational and program opportunities.

We collect your personal information through various platforms and/or SaaS software to manage your registration, support the delivery of our programs and events, and send updates to support your learning. Any third-party systems used to store your information operate under a license or agreement with the University and must comply with the University’s privacy and cyber security standards.

Your personal information may also be processed by AI-driven services to help us improve functionality, personalise experiences, and make informed decisions in line with our privacy and cyber obligations and guidelines.

Your personal data is collected, stored, and transmitted securely in a variety formats, including databases that are shared with authorised staff across the University. Access to your personal data is limited to University and University affiliates’ – representatives who have a legitimate interest in it for the purpose of carrying out their duties. In addition to the purposes above, our specific processing purposes of your personal information as a student applicant of the University and how it is used may also include, but is not limited to the following:

  • correspond with you, review your candidature suitability and undertake assessment of your application for entry to programs of study
  • inform you about our courses inform you about availability of opportunities
  • for benchmarking, customer insights, analysis, quality assurance and planning purposes
  • to fulfil and comply with legislative requirements
  • to prevent or detect fraud and,
  • were otherwise permitted or required by law.

We will not share your personal information with anybody else, unless you have given consent, or we are authorised or required to do so by law.

International privacy and data protection laws

The University of Sydney is committed to safeguarding the personal data. We process personal information responsibly, and transparently and in accordance and compliance with applicable international privacy and data protection laws. Our practices and systems ensure data privacy, security and lawful processing where applicable the international privacy regulations are applied.

Who will the University of Sydney share my personal information with?

In some circumstances, we will share your personal information with third parties in certain examples including but not limited to the following:

Contractors and Consultants

We engage consultants and contractors to help with our services. Contracted service providers are bound by the University’s privacy and security requirements. We disclose personal information to our consultants and contractors only to the extent required by them to provide the contracted service.

Website service providers

We engage external service providers to host and support our websites, and as such these service providers will have access to personal information collected through our websites. Our external service providers are bound by the University’s privacy and security requirements.

Digital engagement services

We use digital engagement platforms to personalise the content on our websites and to conduct tailored marketing activities. We enable the operators of these platforms to collect information about your use of our websites for that purpose. We use the digital re-marketing platforms to provide website visitors with relevant advertisements through third parties such as Facebook, LinkedIn and Google. We also use third-party providers to deliver personalised content to you on our websites, including content relevant to the country you are accessing our websites from. We will also analyse search behaviour patterns to support delivering relevant search results based on your preferences and previous searches.

Event service providers

If you have registered for an event through our websites, we may share your personal information with the event service provider for the purpose of registering and facilitating your attendance and participation in our programs and activities.

How we store and secure your information

The University has security measures in place to safeguard personal information from misuse, and unauthorised access, use, modification or disclosure, including those in the University’s Cyber Security Policy 2019 and Acceptable Use of ICT Resources Policy 2019. We retain your personal information in accordance with our Recordkeeping Policy 2017.

We use reasonable safeguards to protect your personal information from unauthorised access, use or disclosure. We will retain your personal information for as long as required to meet the purposes for which it was collected, stored and in accordance with the State Records Act 1998 (NSW).

Your rights in relation to your personal information

Under NSW privacy laws, you have the right to request access to and correct any personal information concerning you held by the University. Retention of your personal information is subject to the requirements of the State Records Act 1998 (NSW).
